Last updated: October 22, 2026
This Privacy Policy explains how Genomic Software ("Genomic Software", "we", "us", or "our"), the operator of Karyotutor, collects, uses, shares, and protects personal information when you use the Karyotutor cytogenetics training platform at karyotutor.us and related services (the "Service").
1. Who We Are
The Service is operated by Genomic Software, based in the United States. For any privacy question or request, email josh@karyotutor.us.
2. Information We Collect
Information you give us
- Account information: your first and last name, email address, username, password, country, the role that best describes you (for example student or laboratory professional), and any promotional or activation code you enter. We store your password only as a one-way cryptographic hash, never in readable form.
- Messages: your name, email address, and message when you use our contact form or email us.
Information created as you use the Service
- Learning data: the cases you work on, your saved work, karyograms, written reports, scores, test results, and progress over time.
- Account activity: sign-in times, failed sign-in attempts, trial and subscription status, and similar records needed to run your account.
- Technical data: your IP address, browser type, and request logs, which our servers record to operate the Service, prevent abuse, and keep it secure.
We do not ask for, and you should not enter, real patient information. The Service is a training tool, and its cases are for educational practice.
3. Cookies and Local Storage
We use one essential cookie to keep you signed in securely. Your browser's local storage also remembers interface choices, such as the case or tab you last had open. We do not use advertising cookies, third-party analytics, or tracking pixels. If you choose to play the overview video on our home page, it is loaded from YouTube, which may set its own cookies under Google's privacy policy.
4. How We Use Your Information
- To create and manage your account, and to provide the Service and its features.
- To score your work, show your progress, and let your tutor or institution review it where applicable.
- To send account emails, such as registration confirmations, password resets, and trial reminders.
- To respond to your messages and provide support.
- To keep the Service secure, including detecting and limiting unauthorized access.
- To maintain and improve the Service.
- To comply with legal obligations and enforce our Terms of Service.
We do not use your information for advertising, and we do not sell it.
5. How We Share Information
We do not sell or rent your personal information, and we do not share it for cross-context behavioral advertising. We share it only as follows:
- Your institution: if your account was provided by a university, laboratory, training program, or other organization, that organization's tutors and administrators can see your account details, learning data, and scores.
- Service providers that process data for us under contract, including our hosting provider and our email delivery provider.
- AI evaluation: for institutions that have enabled AI evaluation of written reports, the text of a trainee's report is sent to Anthropic, the provider of the Claude AI model, so that it can be assessed. We do not include names, email addresses, or account identifiers with that text.
- External quality assessment schemes: if you reach Karyotutor through an external quality assessment (EQA) scheme, your results for the scheme's cases are sent back to the scheme provider and its platform provider, Certus Technology.
- Legal and safety reasons: where required by law, or where reasonably necessary to protect the rights, property, or safety of our users, the public, or Genomic Software.
- Business transfers: as part of a merger, acquisition, or sale of assets, in which case this policy will continue to apply to your information.
6. Where Your Information Is Stored
Your information is stored and processed in the United States. If you use the Service from outside the United States, your information will be transferred to the United States, where data protection laws may differ from those in your country.
7. Data Retention
We keep your account information and learning data while your account remains open. If you ask us to delete your account, we delete or anonymize your personal information within 30 days, except where we must keep certain records to meet legal obligations, resolve disputes, or enforce our agreements. If your account belongs to an institution, the institution may ask us to keep or remove its users' records under its agreement with us.
8. Your Rights and Choices
Wherever you live, you can ask us to:
- give you a copy of the personal information we hold about you;

Under the California Consumer Privacy Act, as amended, you have the right to know what personal information we collect, use, and disclose; to request access, correction, and deletion; and not to be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined in that law. You may use an authorized agent to make a request on your behalf.
If your account is managed by an institution, you can contact the institution or us. Where the institution controls your records, we may refer your request to it.
9. Security
We protect your information with measures that include encrypted connections (HTTPS), hashed passwords, secure HttpOnly session cookies, automatic lockout after repeated failed sign-ins, and role-based access controls. No system is completely secure, and we cannot guarantee the absolute security of your information. If you believe your account has been compromised, contact us right away.
